1.2   Explain how to support effective communication within own job role

Within my job role I communicate with a variety of people in a range of different ways. It is important that I adapt my method of communication to meet the needs of the person receiving it. I also have to take into account any constraint’s and barriers that there may be and work to overcome these perhaps by choosing a different way to communicate.

Effective communication involves three primary steps
• Thought: the information exists in the mind of the sender. It can be a thought, an idea or a feeling.
• It is encoded and sent as a message to the receiver in words or other symbols.
• It is decoded by the receiver who translates the words or symbols into a concept or information that he or she can understand. (www.wikipedia.com)

I support effective communication by;
• planning how I communicate with someone
• using the appropriate method
• adapting the way in which I communicate to meet the recipient need
• ensure the appropriate language is used and reduce terminology and jargon if required.
• check on understanding asking questions to ensure understanding as appropriate
• use effective listening skills
• allow adequate time to communicate
• illustrate with examples as appropriate
• back up conversations with emails where required.

I also put into place ways in which my team can communicate. An example of this is putting in place a system to notify those who needs to be notified that a new service has started. We do this with a communication notification.
