Record Keeping

In terms of record keeping I follow the Data Protection Act 1998. This Act regulates how personal information is used and protects you from the misuse of personal details.
The reason that I keep records is so that I have up to date information on my learners and that it is current. I also keep records on visits that I have done and work carried out or anything specific that is discussed, this is so that there is a clear audit trail and I can provide evidence of proof to cover myself in the event of any allegations being made.
I deal with personal information often, I reassure my learners that their details are kept confidential and with limited access and are kept for no longer than necessary. All information is kept secure and I reassure my learners by telling them that we follow the Data Protection Act and keep ourselves up to date on policies and procedures and legislations.  
The types of records I keep are ILP’s, PTNA’s documents of contact being made and work being set and completed by the learner and myself.
I keep learner records on learner’s attendance; these are completed on each visit with my learner.
I keep Personal information on the learner; these details would have the learners, name, address and emergency contact numbers.   I complete personal learning plans stating what we are going to be doing and what criteria it will fit into in the standards that I follow. I also set any actions that need to be completed by the learner and when these need to be done by.
Accurate records taken throughout a course enables both myself and the learners to continually reassess the effectiveness of the teaching/learning relationship by giving an ongoing measure against which to view learning objectives. Records show learner progress being made and if they are finding the course manageable and if any additional support is required.
