REPORT ON HOW THEY MANAGE VARIOUS TYPES OF PERSONNEL RECORDS. A CASE OF MOUNT KENYA UNIVERSITY
INTRODUCTION
Record management is an indispensable tool in information management and it enables scholar, information professionals and managers to deal with records considered to be of continued or permanent value. Wikipedia defines records management as discipline of controlling and governing what are considered to be the most important records of an organization throughout the records life-cycle, which includes from the time such records are conceived through to their eventual disposal.
The following report was done after visiting the office of the Director Human Resource, Mount Kenya University. It was noted that the staff understand record management principles applicable in the information they create and receive, and help employees to manage their information in a secure and efficient manner.
Records management serves as a foundation to records management in Mount Kenya University and employees are encouraged to adopt it in order to facilitate the transfer of information to and fro the personnel’s office.
A lot of information is created and receive in personnel office but not all the document created and received are store for future use. It therefore begs an understanding into the kind of records kept and for what purpose. Only records of continued value or of permanent value are stored for future use. The following are the reasons why records are preserved:
  * They hold essential information for the continuation of business activities
  * They represent significant decisions made in the course of University business
  * They hold legal information that proves entitlements
  * They document the culture and achievements of University staff and students
